Meeting note titles your team will actually find

Nobody reads meeting notes titled "Notes". Professional title formats for every meeting type — plus the team conventions that keep a shared drive searchable.

The standard format

[Project/Team] — [Meeting type] ([Date]). Examples: Website Redesign — Kickoff (2026-10-16), Platform Team — Weekly Sync (2026-10-16). ISO dates (2026-10-16) sort correctly everywhere, which is why they beat every other date format for shared files. Put the project first: projects outlive meeting types in search relevance.

Formats by meeting type

  • Standups / syncs: Team Name — Daily Standup (2026-10-16). Recurring, dated, done.
  • 1:1s: 1:1 — Alex & Sam (2026-10-16). Names make ownership obvious; keep a running doc per pair rather than one file per meeting.
  • Kickoffs: Project Name — Kickoff: Goals, Scope & Roles. Kickoff notes get referenced for months — the subtitle should say what was decided.
  • Retrospectives: Project Name — Retro: What Shipped, What Broke. Outcome in the title; future retros will thank you.
  • Decision logs: DECISION — Annual vs. monthly billing (2026-10-16). The all-caps prefix makes decisions visually distinct in any list.
  • Client meetings: Client Name — Project — Meeting Notes (Date). Client first: it is how account managers search.

Add "Decisions" when decisions happened

If a meeting produced decisions, say so in the title: Website Redesign — Sync: Decisions on Navigation (2026-10-16). Decision-bearing notes are the ones people hunt for later ("what did we decide about the nav?"). A title that flags them saves the whole team a search.

Team conventions: write them down

Pick one format, document it in the team wiki, and link it in the notes template. The convention only works if it is the path of least resistance — bake it into the template's default title so following it is easier than inventing something. Review the convention yearly; rename nothing retroactively unless search is genuinely broken.

What not to do

  • "Notes" or "Meeting notes" alone — unsearchable the moment there are two of them.
  • Dates like "10/16" — ambiguous across regions and sorts wrong. Use 2026-10-16.
  • Clever titles for work notes — save the wit for personal notes (creative ideas here); colleagues search literally.
